Consultation Process

Defining the Project Scope

Understanding the scope of the project is the first step to ensure successful delivery. Key points to discuss include:

  • Deliverables: Examples include User Manuals, Quick Startup Guides, Preventative Maintenance Booklets, Logos, Flyers, etc.
  • Format: Deliverables can be provided in digital formats such as PDF, PowerPoint, JPEGs, etc. Coordination for printing hardcopy materials can be arranged as needed.
  • Audience: Identify who will be using the deliverables and what information they need.
  • Branding Guidelines: Ensure alignment with your company’s branding guidelines, including RGB/CMYK color codes and any specific graphics to be included.

Effective communication through email, phone calls, and online meetings is vital throughout this process. During these discussions, I will establish my rate (time & materials basis), estimate the hours required, and set up a schedule for progress updates. Invoices will be issued at the end of each business month or at agreed-upon project milestones.

Drafting

With the scope defined, I begin drafting the deliverables. Progress updates are provided according to the pre-established schedule, which can be tailored to your preference. Progress updates may include:

  • Daily draft exports
  • Completion percentages (e.g., 10%, 20%, 25%)
  • Drafts of branding/look
  • Drafts of specific sections

All time spent on the project is tracked in a shared Excel document, detailing the activities performed. Typically, Google Drive is what I use to share files, but I can adapt to your preferred system.

If the project scope changes during development, I will with you to discuss these changes and estimate additional hours required.

Review

Once the drafts are complete, they will be reviewed by you and/or your team to ensure they meet the agreed-upon criteria. Feedback is crucial and can be provided through:

  • Email
  • Phone calls
  • Online meetings with screenshare
  • Hardcopy markups (scanned and sent back)

Upon completion of the project, the final deliverables will be submitted to you, marking the end of the project. Any remaining billing will be finalized at this time.
